Board notifications (email and Telegram)
Anyone following a board can get alerts by email and, with a registered account, Telegram. The board owner, collaborators with edit access, and certain guests can send updates to subscribers.
What it is for
Tell clients, collaborators, and guests when the board has updates—without meetings or manual one-off messages.
How to use it
- Board requirement: to send notifications, the board owner must be on a Pro or Studio plan.
- Channels in your account (registered users): in Account → profile, open «Board notifications» and enable Email and/or Telegram. At least one channel must stay on. For Telegram, link the bot in the same section (Connect Telegram → Start in the bot; if needed, use «Sync with Telegram» or paste the /start command shown in the app).
- Subscribe on a board (owner and collaborators with an account): in the editor top bar, check «Notify me». Your account preferences (email/Telegram) are saved for that board. Uncheck to stop alerts for that board only.
- Subscribe as a guest (without an Idear account): on the guest board, turn on notifications. Email only: if your guest session has no email yet, the app will ask for one. Guests cannot use Telegram (requires a registered account and a linked bot).
- Send an update (board owner): when there are subscribers, a bell button shows the count. Open it, add an optional message, and confirm. Delivery uses email and/or Telegram per subscriber settings (the sender does not get their own alert).
- Send an update (collaborator with edit access): same as the owner when your link or invite allows editing the board (not on read-only boards).
- Send an update (guest): only if the link grants contribute or full editor mode—not on read-only guest links. Alerts go out by email to subscribers.
- After a send, the dashboard may show a «Changes» badge on the board until you open it (marked read when you enter).
- Team voice notes: from /notas-voz, after recording several notes, the bottom bell notifies subscribers for notes still «not notified» (separate from the editor bell; see «Team voice notes» article).
Tips
- Anti-spam limits: at most one notification every 5 minutes per board and every 30 minutes per sender.
- Global sample boards do not allow sending notifications.
- Collaborators invited by email with their own account behave like registered users (Telegram works if linked in their account).
